Role Overview

The Payments Manager makes sure invoices go out and payments come in. It generates and sends invoices, then follows up on unpaid ones with timely, professional reminders — recovering the revenue that normally leaks away simply because no one had time to chase it. Especially valuable for B2B, where following up on sent invoices is a job in itself.

Responsibilities

• Generates invoices accurately and sends them promptly through the connected channel
• Tracks which invoices are paid, unpaid, and overdue
• Follows up on unpaid invoices automatically with well-timed, professional reminders
• Escalates the tone of reminders appropriately as an invoice ages, without souring the relationship
• Answers routine payment questions — amounts, due dates, payment methods — from your records
• Confirms receipt of payment and updates records accordingly
• Keeps a clear, current view of outstanding payments so you always know what's owed
• Flags seriously overdue or disputed invoices that need your direct involvement
• Logs every invoice, reminder, and payment into your system automatically
• Escalates only the genuine edge cases it should never decide alone — with full context attached
